Fuel tracking and reconciliation

Track fuel against the truck's GPS trail, reconcile fuel-card transactions like WEX, and catch out-of-route or over-priced stops.

4 min read

Numeo One brings your fuel spend into the same workspace as your loads and pay. It reconciles fuel-card transactions against where the truck actually was, so a stop that's out of route or over-priced stands out instead of slipping through. Fuel lives under Accounting, alongside pay and invoicing.

Reconcile your fuel card

Connect your fuel-card provider and Numeo matches each transaction to the truck and load it belongs to:

  • Fuel-card data reconciles against your transactions — for example, WEX.
  • Each purchase is tied back to the truck, so you can see fuel by truck and by load, not just a stack of receipts.

You do the checking, not the data entry.

Fuel against the GPS trail

Numeo checks fuel purchases against the truck's GPS trail — the same live location feed your ELD provides. Two things get easier:

  • Out-of-route stops — a fill-up far off the planned lane is easy to spot when the purchase sits next to where the truck actually drove.
  • Expensive-zone stops — fuel bought in a pricey area, when a cheaper stop was close, gets flagged against your dispatch rules.

Numeo's fuel checks can also read your dispatch messages and expensive-zone rules, so the flags line up with how you already dispatch.

Fuel flows into pay and accounting

Reconciled fuel isn't a dead end — it feeds the rest of your back office:

Good to know

  • Fuel reconciliation leans on live truck location, so a connected ELD makes the GPS-trail checks work. See Connect your ELD.
  • Fuel-card and toll providers connect from Settings — see the integrations directory.
  • Fuel depth can vary by plan — check the pricing page.
