Book It sends a real email the instant you click it, so the wording is entirely yours — Numeo never rewrites a Book It email. You keep two versions of it (one to open a thread, one to reply in an existing thread) plus your signature, all in one place.
The two templates
Numeo stores two Book It templates and picks between them for you:
- First-touch — used when the load has no email thread yet (a cold booking email).
- Reply — used when you're already in a thread with that broker.
You don't pick which one fires; Numeo chooses based on whether a thread already exists. See Book It and the booking flow.
Where to edit them
Open the Signature/templates modal to edit both templates and your signature. When you save, you'll see a "Book It templates saved" toast. There are sensible defaults out of the box, so Book It works before you customize anything.

Placeholders and the rate gotcha
Templates are your own wording. The one thing to know: rate placeholders come out blank on a Book It email. {{rate}} and {{total_rate}} resolve to empty on purpose — it stops Numeo from sending a number that may already be stale by the time the broker reads it.
So:
- Don't build a Book It template that leans on
{{rate}}or{{total_rate}}to state the price. - If the broker needs to see a number, type it into the template yourself, or settle the number in the thread before you Book It.
Your signature
Your signature lives in the same modal and is applied to the emails Numeo sends on your behalf. Sending uses the mailbox connected to the active tab, so make sure that's the address you want the broker to see. See Connect loadboards and email.
Good to know
- Because there's no AI in the Book It click-path, what you write is exactly what sends — proofread it once and it's set.
- A saved change applies the next time you click Book It; emails already sent aren't affected.
