Book It sends the booking email the moment you click it — your exact template, no AI in the middle — and pre-authorizes that one load so the agent can close it out. The load flips to Booked only after the broker confirms, not the second you press the button.
What Book It does
- Book It is your explicit go-ahead to book a load. It lives as an action on the expanded load row.
- When you click it, Numeo shows a quick confirm popover — "Send booking email?" (the button reads "Send email to book it" on hover, then "Booking…" while it sends).
- The booking email goes out immediately using your saved Book It template. There's no model in the click-path, so your exact wording reaches the broker with zero latency. See Customize your Book It templates.
First-touch vs reply
Numeo picks one of two templates for you automatically:
- First-touch — when the load has no email thread yet.
- Reply — when you're already in a thread with the broker.
You don't choose which one fires; it's based on whether a thread already exists.
What happens to the load
- Numeo stamps a booking-request time on the row (it's never cleared).
- The load moves into your Engaging bucket, with the row reason "Booking commit email sent — waiting on broker confirmation."
- When the broker replies, the email agent picks the thread back up — now pre-authorized to use commitment language without asking you again, but it won't re-pitch your offer.
- The load flips to Booked only after the broker actually confirms.
Numeo treats replies like "deal," "book it," "sending rate con," or "you got it" as a real acceptance, and moves the load to Booked then. See Reading load statuses.
Pre-authorization, in plain terms
Book It is a pre-authorization: you've told Numeo "I want this load, close it." After that, when the broker writes back, the agent can confirm the booking without coming back for a second approval — but it stays on the safety check the whole time, even in Manual mode, and it won't re-open or re-negotiate the price. When it's booked
Confirmed loads land in Booking History (with a little confetti). Until a broker confirms a Book It, that page reads "No bookings yet — once a broker confirms a Book It, the load will show up here."
If it fails
If the send doesn't go through, you'll see a "Book It failed" toast. Check that your sending mailbox is connected on the active tab, then try again. See Connect loadboards and email.
Good to know
- Rate placeholders don't fill in on a Book It email —
{{rate}}and{{total_rate}}come out blank on purpose, so you never send a stale number. More in Customize your Book It templates. - Book It is the commit action. There is no separate "Covered" button — a load only becomes Booked on broker confirmation.
