Approvals and the human in the loop

When Numeo asks you to approve a broker draft, and how your answers, edits, and instructions steer the next reply.

4 min read

Numeo drafts broker emails, but in the modes where it isn't sending on its own, it hands you the draft first. You approve it, edit it, or tell it what to do differently — and that decision feeds straight into the next reply. You stay in control; the agent does the first pass.

When the agent asks you to approve

Whether a draft needs your sign-off depends on the mode the tab is in:

  • In Manual, the agent doesn't run outbound drafts through the safety check at all — you're composing and sending.
  • In Auto-Supervised and Fully Autonomous, outbound drafts pass through Numeo's check, which decides whether a draft is safe to send or should pause for you.
  • Book It loads always route through the check — even in Manual — because a booking is money on the line.

See AI modes for how each mode behaves.

Where approvals show up

Loads and inquiries waiting on you collect in the sidebar's needs-attention list. The broker thread renders inline in the right-hand email rail, so you can read the full context before you decide. Unread counts also show in your browser-tab title, so you know when something's waiting.

The three ways you respond

Your decision on a draft flows back to the agent in one of three shapes:

  1. Answer a question — the agent asked something specific (pickup time, equipment, a number) and you answer it.
  2. Give feedback on the draft — you edit or react to the exact draft it proposed ("too aggressive," "drop the second question").
  3. Free-text instruction — you tell it what to do next in your own words.

Whichever you use, that decision becomes part of the context for the next turn. The agent honors an explicit instruction from your prior turn rather than overriding it.

What your feedback controls

  • The agent works out what a load still needs before it can be handed off, asks for exactly that, and stops asking once nothing's left.
  • Anything grounded in driver memory has to pass through your approval before it reaches a broker — Numeo won't state a remembered number or preference as current without your OK.
  • After a Book It, your pre-authorization stands in for that second approval on the confirmation reply — the agent can close without pinging you again, but it won't re-pitch the price. See Book It.

Good to know

  • The agent frames any number as a question ("can you do $X all-in?"), never a hard assertion, and holds to one position per email — so a draft you approve won't over-commit you. More in How negotiation works.
  • Something look wrong in a draft or a run? Use Report a problem to flag it.
